1 System (Management)

1.1 Basic system management
Timestamp: If more than five minutes have elapsed since the time displayed, the automated notification feature by email is not ready.

1.2 Parameters related to the communication with the office
Here you can set the intervals and the number of emails that will be sent to the office from ProceedingsBuilder. Set the values appropriate to the duration of the test run.

1.3 Parameters related to the communication with authors
Here you can set the intervals and the number of emails that will be sent to the authors from ProceedingsBuilder.
Set the values appropriate to the duration of the test run. Do not forget to set the date when ProceedingsBuilder should start reminding the authors by email.
The official deadline does not affect the email feature. The date is only used in the content of the email.
(Note: these settings only affect the reminding emails.)

2 XML

2.1 Contributions
In this section you can upload the describing data of the anticipated contributions. The contributions belong to categories.
The upload works as follows:

  • First, you simply upload the respective XML file.
  • Second, you should inspect the generated text file, that includes a summary of the XML file. Please check if everything is right. If there is any fault, you can correct the XML file and return to step 1
  • Third, you can proceed by clicking the button "finish". After that, each author involved in the contributions gets a welcome email including his/her login data.
    If an error occurs, a red cross marks the faulty email address. Inspect the text file to figure out which email could not be sent. Switch to the menue "participants", choose the author whose email is wrong, and correct it. Repeat the final procedure by pressing the "finish" button again. (remind, that after this step you cannot add any additional author to this category)
2.2 Sessions
Remind, that the session XML file has to include all contributions in the system. After the session XML file is correct and accepted by Proceedings Builder, you cant add any contributions to Proceedings Builder any more.
If the the session XML file is not consistent with the contributions already in Proceedings Builder, you can view the text file to find out, which session has no corresponding contribution and vice versa.

3 Officers
In this section you can add administrators and secretaries.
You can change a userīs role after its creation.
Secretaries only have the rights to access "participants" and "contributions".

4 Emails

4.1 Modify email content
Here you can choose an event und modify the content of the email that will be sent when the event arises.
You cannot add new events.

4.2 Form letter
Here you can choose recepients by writing an SQL query. After that you can define the content of the email.
Once an query is defined, you can save it for reuse.
(This funcionality is quite special, because you need developer knowledge to define the SQL queries.)

5 Faults
Here you can set the text that will be displayed in emails when an element is missing or faulty. You can delete or add standard faults, that will be displayed in a list for selection when you correct an element.

6 Participants
Here you can survey all authors. You can search by firstname, surname or affiliation and sort by columns. Click on detail to view or change details of the author information.

7 Contributions
Here you can survey all contributions, papers, abstracts and sessions (remind, that you can only view sessions after uploading the XML file that describes the sessions)
You may shrink the view to a subset of all contributions according to categories, e.g., research, industrial.
